"I started my first business at around 15 when I mowed lawns for Invercargill people going to their holiday homes in Queenstown for summer. While I knew I'd always be paid, my dad kept telling me to make sure I had an invoice to send them so they could pay. I looked online, built something basic, and kept a record of my clients - invoicing made my lawnmowing business more professional.
At age 18, I founded another business which was a B2B, and also sent a bunch of invoices. Then, at university, a students club I co-founded was a prolific invoicer of corporates who eagerly sponsored it. So I put together a professional invoice template to get paid quickly. After leaving investment banking, I co-founded a tech business in 2012; digital invoices were all the rage and avoided the need to populate spreadsheets manually. To this day, I rely on Xero for every business I'm involved in because the invoices are automated and automatically reconciled. Remember - cash flow is king to a business, and the sooner you're paid, the more possibilities you have to grow your operations. Tips for using your invoice template
- We strongly suggest using a logo in your invoice - the MoneyHub placeholder is there to be replaced with your logo. If you don't have a business logo, we suggest ordering one at a fixed price via Fiverr.com which costs from as little as around $15.
- Include a unique invoice number. We've started the invoice list at '1' and '2' etc.; this may not always be appropriate for your business, but usually, it will be. The best approach is to keep things simple.
- You may be provided with a reference or purchase order (P.O.) number by your customer - we suggest inserting that into the description of the items invoiced so it's visible and speeds up payment.
- We suggest printing the invoice to PDF and sending it via email to speed up payment.
- Save a copy for your tax records.

- If you find that you're sending too many invoices (a good problem to have) and want an automated system, we suggest looking at Hnry (if you're a sole trader, tradie, contractor and freelancer etc) or Xero (if you're a small business. Hnry doesn't charge a monthly fee, whereas Xero does. What is right for you will depend on your business structure and turnover.

New Zealand GST Tax Information on Invoices
In New Zealand, GST is charged at a standard rate of 15% to all domestically supplied products, goods, and services. Our GST calculator provides further guidance.
Do I need to register for GST in New Zealand when issuing an inovice?
You don't need to be registered for GST unless sales from your taxable activity are at least $60,000 a year, or you add GST to your prices. The IRD has more details about how to register.
Reclaiming GST in New Zealand
As a business, if you incur GST related expenses related to your operations, these may be recovered by reclaiming the GST. The IRD has further details here.
